POSITION SUMMARY 

The Operations Administrator is a key member of the operational foundation for Redstone. This role will bring high-level executive assistance to multiple senior leaders, working most closely with the Legal and Systems Senior Manager and Senior Consultants, who are driving revenue and leading the firm. The Operations Administrator independently manages complex and central processes, as well as elaborate scheduling and travel for multiple leaders and their project teams. 

In addition to being organized, accurate, and detail oriented, success in this position depends on analytical skills, sound business judgement, confidentiality, and the ability to build rapport and communicate effectively. The team is highly collaborative, and evolving processes necessitate being proactive, adaptable, and resourceful. You’ll also get to work with a top-notch and cohesive Operations team driving the day-to-day needs of the firm.  
 

RESPONSIBILITIES  

Contract Administrator  

  • Coordinate the complete lifecycle of all contracts for the consulting line of business, including clients, vendors, and subcontractors 

  • Draft contracts, amendments, and renewals and ensure accurate tracking, timely approvals, and compliance with established procedures and legal requirements  

  • Create and maintain templates and accurate records in contract management systems 

  • Collect and analyze metrics related to contracts, amendments, and renewals 

Executive Assistant 

  • Proactively manage a high volume of requests related to calendaring, scheduling, event planning, expenses, contact management, and other administrative needs for assigned Senior Leader(s) 

  • Interface with clients and their teams to set up connections, e.g., client calls, interviews, convenings, workshops 

  • Manage logistics for internal and external meetings/events, and speaking engagements 

  • Create, compile, and distribute materials in advance of meetings as requested 

  • Manage domestic and international travel by directly booking flights, hotels, and transportation while tracking, making necessary changes, and anticipating travelers’ needs  

General 

  • Continually optimize processes, including researching best practices, making recommendations, and implementing improvements 

  • Lead and carry out discrete operational projects or workstreams, provide flexible operations expertise, and participate in various projects as assigned 

  • Contribute as a citizen of the firm by engaging positively in culture and firm development activities 

  • Stay connected while away from your desk as needed, occasionally accomplishing tasks outside business hours, e.g. when teams are traveling  
     

QUALIFICATIONS 

  • 3+ years of experience in contract administration or related role 

  • 3+ years of experience providing administrative support for several senior leaders in a professional service setting (e.g., consulting, legal, finance/accounting, medical office) 

  • 1+ years of experience with direct booking of domestic and international travel  

  • Strong Proficiency with Microsoft Office products (Outlook, Word, Teams, Excel) 

  • Strong analytical skills with attention to detail and accuracy 

  • Experience with complex and dynamic scheduling for several senior  leaders (e.g., medical office, law firm, or supporting project teams) 

  • Excellent communication skills, with the ability to take initiative and build professional and productive relationships across all levels 

  • Excellent organization, a strong work ethic, and the ability to work independently 

  • Experience supporting office operations (purchasing, coordinating maintenance, greeting visitors, coordinating catering, general office support) 

  • A positive, proactive approach, strong initiative, and the capacity to adapt under pressing deadlines 

  • Ability to handle confidential information with integrity and discretion 

  • Experience leading/managing discrete projects independently 
     

WORK ENVIRONMENT AND PHYSICAL REQUIRMENTS 

This position works during normal business hours, typically Mon-Fri, 9am – 5pm local time with some flexibility for work with other time zones. While this position could be remote, there is a preference for this role to work from one of our offices in San Francisco CA, New York NY, Chicago IL, Boulder CO, Durham NC, or Washington DC. After their initial onboarding, all employees have the choice of two hybrid schedules: Flex, with 1-2 days per week in the office, or Office-based, with 3+ days per week in the office (or more if preferred). The remaining days are worked at home/remotely.

COMPENSATION 
The starting base salary range for this position is $70K - $85K (commensurate with experience) plus a discretionary year-end bonus. This is a full-time exempt salaried position with a competitive benefits package including a retirement program, significant portion of premiums for employee and dependent coverage in medical, dental, vision, life insurance, and short/long-term disability, paid parental leave and other paid time off (vacation, holiday, volunteer, personal, bereavement, jury duty, and voting), reimbursement for professional learning, and partial reimbursement for personal cell phone, internet and fitness expenses.
